The receiving organization controls its requirements. The document owner or authorized person decides what to sign, disclose, submit, or hold for qualified review.
Build the checklist from the current request
Record the organization, task, document list, accepted versions, date range, signature or certification rule, format, size, translation or accessibility requirement, deadline, and submission route. Use the current letter, portal, form instructions, or official contact rather than an old personal checklist.
Verify each document and its owner
Check the person's name, document title, issuing source, version or service date, expiry when relevant, page count, and whether it belongs to the person or another household member. A caregiver or clinician should not sign, alter, or disclose a record without actual authority.
Limit unnecessary information
Provide the pages and fields the receiving process requires. Redact only when permitted and preserve the original. Keep government identifiers, financial details, health information, passwords, and legal documents out of teaching copies. Use fictional packets for skill practice.
Make review accessible
Use screen-reader-ready files, large print, a page index, color tabs, a checklist, AAC, or a chosen supporter. ASHA guidance supports continued AAC access. The BACB Ethics Code addresses competence, confidentiality, client involvement, and documentation for covered behavior analysts.
A practical example
Owen prepares a seven-item fictional packet. Six requirements have the current document, permitted format, owner approval, and final review. One certification is expired. Packet readiness is 6 of 7. Owen holds the entire packet when partial submission would create confusion.
