What is Travel buffer, and what should an ABA practice owner know before applying it? A travel buffer is planned time between location-based duties for driving or transit, parking, building access, equipment handling, privacy-safe setup, documentation transition, and predictable uncertainty. It should use route, day, time, setting, worker, and weather assumptions. One flat allowance can create late arrivals, rushed driving, unpaid work, or false capacity.
Include the whole transition
Route time is only one component. Add departure tasks, elevator or security access, parking, walking, equipment, hand hygiene, private record setup, and the time needed to begin the next service safely.
Keep clinical documentation and paid break requirements in their own calendar categories. A travel block should never become a container for unrelated unpaid work.
Model the route by time of day
Use actual origin and destination, day, departure window, mode, and seasonal conditions. A school-to-home route at 3:15 p.m. can differ sharply from the same miles at 11:00 a.m.
Prefer a percentile or range from recent route data over a single best-case estimate. Record the source date and recheck after site, road, transit, or school-dismissal changes.
Separate base time and uncertainty
Base travel reflects expected route and transition work. A risk buffer accounts for ordinary variability such as traffic, parking, weather, building access, or transit delay.
State both values. Leaders can then see whether a 45-minute block contains 35 expected minutes plus 10 minutes of buffer, rather than treating all 45 minutes as driving.
Analyze worked time independently
Federal DOL Fact Sheet #22 says job-site-to-job-site travel during the workday is work time under the FLSA, while ordinary home-to-work travel generally is not. Actual facts, special assignments, overnight travel, and state law can change treatment.
Payer reimbursement and mileage policy answer different questions. Maintain lawful time and expense records regardless of whether travel appears on a claim.
A fictional route example
Dev has a home session ending at 2:00 p.m. and a school meeting at 3:00. Recent route data show 32 minutes at that time. Parking and entry usually take eight minutes, and secure setup takes five.
Expected transition is 32 + 8 + 5 = 45 minutes. The practice adds a 10-minute variability buffer, producing 55 planned minutes. The five remaining minutes before 3:00 provide too little room for another duty. The schedule is feasible only if the first session ends on time and current conditions remain within the assumption.
Protect safety and privacy
Scheduling should never reward speeding, device use while driving, unsafe parking, or documentation in a public place. Define late-arrival communication and a safe stop rule.
Limit route displays to people who need them. Home addresses, school locations, and daily movement patterns are sensitive. Use role-based access and remove stale route exports.
Build exception routes
Flag weather, road closures, public-transit outages, high-security sites, mobility needs, unfamiliar locations, and equipment requirements. Allow staff to report a route as infeasible before departure.
For severe conditions, apply the practice’s closure, emergency, and family-communication process. A travel buffer is a planning control rather than an emergency plan.
Measure forecast accuracy
Compare planned transition minutes with actual lawful time records by route and departure band. Track late arrivals, shortened sessions, unsafe near misses, parking variance, and schedule changes.
Use medians and upper percentiles with sample counts. Averages can hide a route that fails predictably during one school-release window.
Maintain a route table
Store origin zone, destination zone, travel mode, departure band, expected route time, access time, setup time, buffer, evidence period, sample count, and next review. Keep personal addresses in a restricted system and expose only the planning result broadly.
Refresh a route after repeated late arrivals, location moves, transit changes, construction, seasonal weather, or staff reports. Preserve prior versions so schedule decisions remain reproducible.
For a new route, begin with a conservative estimate and require confirmation after actual trips. Give workers a safe way to report variance without pressure to shorten sessions or drive unsafely. Update future blocks from evidence rather than changing recorded travel after the fact.
Connect travel to capacity
Travel and transition hours consume worker capacity. Count each interval once and prevent overlapping assignments. Recalculate open capacity when routes or locations change.

Ask which components enter the buffer, what data source and time band support it, and how staff report exceptions. Review payroll and expense treatment with qualified workforce advisers.
Audit schedules that repeatedly start late or compress travel. Adjust assumptions before assigning more work to the same route.
Include staff feedback in every route review.
When actual travel exceeds the buffer, preserve the recorded worked time and affected service facts. Correct future planning assumptions through a versioned change rather than shortening time records or shifting the variance into client care.
