What is Form W-2, and what should an ABA practice owner know before applying it? This annual Wage and Tax Statement reports each employee's wages and taxes to the employee and Social Security Administration. An owner should reconcile identity, federal and state wages and taxes, Social Security and Medicare amounts, benefit codes, filing method, delivery, deadlines, vendor acceptance, corrections, privacy, and payroll-tax returns.

Form W-2 summarizes an employee's wage year

IRS Publication 15 explains employer duties for withholding, depositing, reporting, and paying employment taxes. The statement carries annual employee wage and tax information to the employee and SSA.

It is different from a pay statement. A pay statement explains a particular pay period under applicable law. Form W-2 reports annual federal, Social Security, Medicare, benefit, and state or local data in prescribed boxes. Neither replaces the other.

Identity must match authoritative records

Verify the employee's legal name and Social Security number through compliant onboarding and correction procedures. Verify the employer's legal name, EIN, and address for the reporting entity. A preferred name can be used in ordinary workplace systems while the tax form follows federal identity rules.

Restrict access to Social Security numbers and tax forms. Use approved secure delivery and storage. Emailing an unencrypted W-2 or placing a full SSN in a broad HR ticket creates avoidable exposure.

Wage boxes are related and rarely identical

Box 1 federal wages, Box 3 Social Security wages, and Box 5 Medicare wages can differ because a benefit or deduction receives different tax treatment. Social Security also has an annual wage base while Medicare does not.

Reconcile each earning, deduction, and benefit code to its W-2 treatment. Examples can include retirement deferrals, employer health coverage reporting, dependent care, group-term life, third-party sick pay, and other items. Use current IRS instructions and plan documents rather than copying a prior-year mapping without review.

Year-end reconciliation starts before January

Reconcile quarterly Forms 941 to payroll registers, tax deposits, general-ledger accounts, and W-2 accumulators after each quarter. Waiting until the annual file is built can turn one configuration issue into dozens of corrections.

At year end, check:

  • employee and employer identities
  • taxable wages by tax type
  • Social Security and Medicare withholding and employer shares
  • federal income-tax withholding
  • retirement, health, and other coded benefits
  • state and local wages and taxes
  • voids, reversals, manual checks, and third-party pay
  • terminated employees and entity transfers

Document every reconciling difference, reviewer, and resolution.

Filing and furnishing have distinct evidence

The 2026 General Instructions for Forms W-2 and W-3 state that Copy A for 2026 forms is due to SSA by February 1, 2027. Employee copies follow the applicable furnishing deadline. A different calendar year can have a different date because of weekends, holidays, or law changes.

Employers filing 10 or more covered information returns in aggregate generally must file electronically unless a waiver applies. Use current rules for aggregation and waiver. SSA's Business Services Online supports electronic wage reporting.

Track file creation, approval, transmission, SSA acceptance, employee delivery, returned mail, portal access, and correction as separate states. A payroll vendor's “submitted” status may precede SSA acceptance.

A fictional year-end cohort

Sunlit Steps ABA locks a cohort of 36 employees requiring a W-2 for the wage year. Thirty-four forms reconcile across identity, payroll, quarterly returns, state data, benefit codes, and delivery address. One is held for a Social Security number mismatch and one for unresolved third-party sick pay.

Release readiness is 34 of 36 forms, or 94.4%. The two held forms remain in the denominator and deadline dashboard. Sunlit Steps corrects source records before generating the final file instead of issuing knowingly inconsistent forms.

The percentage describes internal readiness. It does not prove SSA acceptance, employee receipt, tax accuracy, or timely filing.

Corrections use Forms W-2c and W-3c

When filed or furnished information is wrong, determine whether a corrected Form W-2c and transmittal Form W-3c are required. The route and boxes depend on the error. An address-only change can receive different treatment from a name, SSN, wage, or tax correction.

Coordinate corrections with Form 941-X, state amendments, payroll records, deposits, general ledger, and employee communication when affected. Preserve the original form, corrected form, filing acceptance, delivery evidence, and reason.

Vendors help without replacing employer oversight

Define who owns year-end configuration, employee communication, approval, transmission, rejection work, and corrections. Test access before filing week. Keep an export of source totals and acceptance artifacts outside a single vendor login.

Review state and local form duties separately. Some jurisdictions require additional statements, electronic files, earlier registration, or account reconciliation that the federal W-2 workflow does not satisfy.

Keep an authorized backup for year-end approval and filing access.

Test that access before the final payroll closes.

Use a signed pre-filing control total for employee count, Social Security wages and tax, Medicare wages and tax, federal withholding, retirement codes, dependent-care amounts, and state and local fields. Reconcile it to quarterly returns, payroll, deposits, and the ledger, then archive SSA acceptance and employee-delivery evidence.
