ABA call record skills can support documenting an important phone conversation by naming the organization, verified contact route, date and time, purpose, representative, facts confirmed, unresolved questions, reference number, promised action, and follow-up date. The person chooses what to record and who may see it. A call note supports later action; it does not replace the provider's official record, written decision, or contract.

Prepare a short call sheet

Before calling, list the purpose, account or case indicator, questions, documents available, communication needs, and desired result. Use only the identifying information the verified organization actually needs. Keep passwords, PINs, and security codes out of the note.

Record facts while preserving authorship

Capture date, start and end time when useful, number called, organization, representative name or ID, exact facts confirmed, what remains uncertain, commitment, due date, and reference number. Mark the difference between what the representative said and the caller's interpretation.

Keep communication accessible

The person may use speakerphone by choice, relay, captioning, an interpreter, AAC, written questions, or a chosen support person. ASHA's AAC portal supports ongoing access to communication tools. Confirm any consent or account-authority requirement before another person joins.

Ask for durable follow-up

When the decision matters, ask where a written notice, portal update, email, receipt, or official record will appear. The BACB Ethics Code addresses understandable communication, confidentiality, and documentation for covered behavior analysts. Other organizations follow their own record rules.

A practical example

Cam makes six important calls. Five notes include verified number, date, purpose, representative, facts, and next step. One lacks a reference number because the organization did not issue one; Cam records that fact and the written follow-up route. Record completeness is 6 of 6 under the defined fields.

Questions families can use

Ask why the call is needed, how the number is verified, which details are required, how the person communicates, what was confirmed, which reference exists, what written evidence follows, and when to check again. ABA call record skills should improve continuity without overclaiming what a call proves.
