Record the rule behind the date
Write the item, source, issued date, due date, time zone, notice or preparation period, responsible person, required inputs, and consequence of missing it. A date copied from an old message should be verified against the current account, agency, school, employer, or service source.
Work backward from completion
Create checkpoints for deciding, gathering documents, asking questions, submitting, paying when applicable, and confirming receipt. Treat renewals as decisions

Define completion evidence
Submitted, received, accepted, renewed, paid, and posted are different states. Save the confirmation, reference number, receipt, updated document, or written response needed for the real task. Keep pending and rejected items visible with an owner and next check.
