An ABA staff credential verification log helps a family record what a named worker says their role is, which public or responsible source was checked, what that source showed on that date, who supervises the work, and what still needs clarification. It keeps certification, licensure, NPI, employment, payer participation, assigned duties, and supervision from being treated as interchangeable.

Use one verification row for one named person and one source. Copy names and numbers carefully, save the source date, and label information as stated, verified, not found, inconsistent, or still open.

Recheck the ABA staff credential verification log when a person, role, supervisor, service, source status, or required credential changes.

Keep uncertainty visible. Recheck changed facts. Archive superseded results.

The BACB Verify Certification page identifies the BACB Certificant Registry as its primary resource for checking certification status and reportable disciplinary actions associated with that certification. A registry result answers a certification question; it does not by itself verify employment, state licensure, payer enrollment, organizational approval, competence for a particular case, or an assigned supervisory relationship.

Important boundary: This is a family-owned verification log, not a credentialing decision. It cannot issue or revoke a credential, certify competence, define scope of practice, or infer one status from another. It also cannot approve a worker, establish supervision, verify confidential employment records, decide whether a service may proceed, or declare a legal, payer, licensing, ethics, or organizational violation. Use the responsible provider, registry, licensing board, payer, regulator, or other authoritative source for each decision.

Start with the named person and the exact family question

Avoid checking a job label without a person. Similar titles can mean different things across organizations, states, payers, and service models.

  • Match the name exactly.
  • Date the role statement.
  • Identify the planned task.
  • Name the service setting.
  • Keep the original source.
  • Write one narrow question.

Ask the organization how it names the role. Record the person's exact spelling. Do not assume that a scheduling label, email signature, badge, portal entry, claim line, or family recollection is an official credential statement.

The BACB Consumer Resources page explains that organizational structures vary and directs consumers to separate resources for BACB certification and state licensure. That separation is useful here: one source should not be asked to prove a different status.

Build a source-by-source verification stack

Use a separate row for each status. “Not checked” is more accurate than “none.” “Not found” should preserve the search details and may require clarification about spelling, jurisdiction, status, or source.

  • Check one status per row.
  • Capture the result verbatim.
  • Preserve the lookup date.
  • Save the responsible source.
  • Mark unresolved evidence plainly.
  • Avoid copying excess identifiers.

Do not copy more personal information than the family needs. Follow a registry's terms of use. Store screenshots or letters securely, and record a link plus date when saving the underlying document would create unnecessary privacy risk.

The CMS NPI Registry states that issuance of an NPI does not ensure or validate that a provider is licensed or credentialed. Treat an NPI record as an identifier record, not proof of a different status.

Record certification without expanding what it proves

BACB check fieldFamily entryRegistry or verification route usedYour entry: __________.Name and certification number searchedYour entry: __________.Certification type shownYour entry: __________.Status shownYour entry: __________.Recertification or expiration information shownYour entry: __________.Reportable action information shown, if anyYour entry: __________.Search date and timeYour entry: __________.Exact discrepancy or follow-upYour entry: __________.

  • Confirm the search spelling.
  • Copy the certification type.
  • Retain the displayed status.
  • Note every displayed date.
  • Label an absent result carefully.
  • Route discrepancies for clarification.

Copy the result rather than paraphrasing it as “cleared” or “approved.” If the result is absent or unexpected, recheck spelling and the current BACB instructions before contacting the organization or BACB through its current route.

The BACB Ethics Code for Behavior Analysts applies to the certificants and applicants within its scope. A family log does not determine whether a person violated that code, whether a noncertificant is practicing unlawfully, or whether an organization met a credentialing duty.

Check state licensure as a separate question

Many, but not all, states regulate behavior-analyst practice through licensure. Requirements, titles, exemptions, lookup systems, and responsible boards can change.

Licensure check fieldFamily entryState or jurisdiction tied to the serviceYour entry: __________.Current source used to identify the board or requirementYour entry: __________.Board or regulatorYour entry: __________.License type and number shownYour entry: __________.Status and dates shownYour entry: __________.Limitation, condition, or uncertainty shownYour entry: __________.Checked date and evidence locationYour entry: __________.Question sent to responsible sourceYour entry: __________.

  • Tie the check to place.
  • Use the current board source.
  • Record the license type.
  • Preserve conditions as shown.
  • Separate absence from exemption.
  • Escalate only through current routes.

Do not conclude that no license is required because a search returned nothing. Do not conclude that a current BACB certification automatically satisfies every state requirement. Ask the current state source or provider when the rule, exemption, location, or service type is unclear.

Map assigned work and supervision without certifying either

The BACB supervision and training page separates supervision responsibilities by role and points readers to current handbooks. The BACB RBT supervision page describes RBTs as delivering services under the direction and close supervision of an RBT Supervisor or RBT Requirements Coordinator. Those BACB requirements do not automatically describe every worker, every license, or every payer relationship.

  • Name the assigned supervisor.
  • Identify the decision owner.
  • Record the provider's confirmation.
  • Keep coverage plans separate.
  • Date the operational statement.
  • Leave confidential files unrequested.

An assigned supervisor is not established merely because one qualified person works for the organization. A public registry may show credentials but not the confidential details of a current assignment. Ask the provider for the operational information it can appropriately confirm.

Keep the statuses distinct

Use this reconciliation table before drawing any conclusion.

  • Read across each row.
  • Compare dates before conclusions.
  • Keep NPI evidence narrow.
  • Treat employer statements as statements.
  • Preserve conflicting results together.
  • Ask the source that owns the answer.

When sources disagree, preserve both results and dates. Do not choose the more reassuring answer. Ask each responsible source a narrow question and record the response without expanding it.

Track discrepancies and follow-up

  • State the discrepancy neutrally.
  • Explain the service question.
  • Address the responsible role.
  • Save the sent message.
  • Log the direct response.
  • Set a sourced review date.

Use the provider's current safety or urgent route when a real-time service question cannot wait for a routine verification reply. This log can preserve the contact afterward, but it should not make the proceed, pause, staffing, or reporting decision.

Fictional example: verifying Jordan's stated role

This example is fictional and demonstrates source separation only.

FieldFictional entryNamed person and stated roleJordan Lee; introduced in the portal as an RBT assigned to Tuesday home sessionsBACB source checkName and certification number checked in the BACB registry on September 10; result copied into the family's secure noteState-license questionNot yet answered; family asked whether this role requires a separate license for services delivered in the stateOrganization statementScheduling coordinator confirmed Jordan's assignment and named Morgan Ruiz as the clinical supervisorNPI resultNot used as proof of certification, licensure, employment, or supervisionOpen discrepancySupervisor contact route was not included in the first messageFollow-upFamily asked the provider for the supervisor's current contact route and coverage plan before the next scheduled session

The example does not establish that Jordan, Morgan, the organization, or a service is qualified, authorized, enrolled, safe, compliant, or appropriate. A real family would use the current responsible sources for the actual person, place, payer, program, and date.
